MHS Ratification

The MHS works to represent all full-time undergraduate Humanities students by ratifying clubs that directly benefit those within Humanities programs. The application process can be read below.

Please note that ratification for the 2023-24 academic year is closed. Ratification for the 2024-25 year will open in the Winter 2024 semester.

  • Ratification and re-ratification occurs at the end of the winter semester.

    January and February

Clubs looking for new ratification with the MHS should email the Vice President of Internal Affairs at mhs.vpinternal@gmail.com expressing their interest and providing a brief outline of their club mission for a preliminary evaluation.

    March

Ratification applications open in March and are due March 31.

    April

Ratification applications will be reviewed and the VP Internal will send notes back to clubs. Once adjustments are made and the final constitutions (.pdf) sent back, clubs will be officially ratified under the MHS.

  • Club Agreement

The MHS Club Agreement can be read here. All clubs considering ratification under the MHS should thoroughly read the MHS Club Agreement to ensure they align with MHS processes before submitting an application.

Applications for MHS ratification consist of two (2) components.

    Step 1: Ratification Form

Clubs must fill out the most current MHS Club Ratification Form with their contact information, justification for MHS ratification, and requested supports. This form outlines the terms of ratification and ratification review.

    Step 2: Club Constitution

All MHS clubs are required to have an active and accurate club constitution. The club’s constitution is a governing document that outlines the club’s mission, details club processes, and breaks down the roles & responsibilities of executive members.

The MHS Club Constitution Template can be found here and further questions may be directed to the MHS VP Internal.

    Submission

Email your completed Ratification Form and Club Constitution to mhs.vpinternal@gmail.com by March 31 with the subject line “[Club Name] Ratification 2023-24”.

  • Re-ratification applications consist of three (3) components.

    Step 1: Re-Ratification Form

MHS clubs intending to re-ratify with the MHS must complete the MHS Re-Ratification 23-24 Form.

    Step 2: Club Constitution Review

MHS Club Constitutions can be officially updated at the period of re-ratification. The constitution must be submitted with highlighted clauses and/or comments indicating the exact wording the clauses will be updated to.

    Step 3: President Transition Package

All Presidents, regardless of returning or outgoing, must complete the MHS Club President Transition Package outlining their role history which includes important logistical information, projects, and next steps.

    Submission

The completed Re-Ratification Form, updated Club Constitution, and finished Transition Package should be submitted to mhs.vpinternal@gmail.com by March 31 with the subject line “[Club Name] Re-Ratification 2023-24 Package”.

The MHS VP Internal will review the requested constitution updates and submit any notes or suggestions. Once the final constitution (.pdf) is completed, the club will be officially finished with re-ratification and the updated constitution will be uploaded to the MHS website under “Program Clubs & Societies.”
